An apostille is not magic. It just feels like it!

Imagine this: you have an Estonian diploma, marriage certificate, or a clean criminal record certificate, and you need to present it somewhere abroad. The problem is that the foreign official on the other side has no idea what “Perekonnaseisuamet” is, or why its stamp should be trusted at all.

An apostille is a special certificate that basically tells that official: “Relax, this signature is real, this seal is real, everything checks out.” No embassy visits, no weeks of waiting for consular legalisation, no drama.

We arrange apostilles on documents in Tallinn within 24 hours, and almost the entire process happens online.

What an apostille actually is?

An apostille is a simplified form of document legalisation for use abroad, introduced by the Hague Convention of 5 October 1961 (also known as the Hague Legalization Convention). Estonia joined the Convention in 2000 (it entered into force in 2001).

An apostille does not translate your document and does not confirm that its content is true. It confirms exactly one thing: that the signature, the position of the signing official, and the seal on the document are authentic. Once apostilled, the document is accepted in any of the 120+ member countries of the Convention — no further legalisation through an embassy or consulate needed.

The apostille itself has a fixed, internationally recognised format: a square stamp roughly 9×9 cm, headed “Apostille (Convention de La Haye du 5 octobre 1961)” in French, containing ten standard fields.

When you actually need an apostille?

• Moving, studying, or working abroad — diplomas, certificates, academic transcripts
• Getting married abroad — birth certificates, marital status certificates
• Presenting Estonian documents in a foreign court or to a notary abroad
• Doing business abroad — commercial register extracts, articles of association
• Criminal record certificates, powers of attorney, court decisions to be used outside Estonia

One thing worth knowing: an apostille can only be affixed to official documents — issued by a government authority or a notary. A personal letter from your grandmother or a regular commercial invoice can’t be apostilled, and honestly, that’s for the best.

Do you even need an apostille?

You don’t always need one. Since 2019, EU Regulation 2016/1191 has removed the apostille requirement between EU member states for several document types (birth, marriage, and clean criminal record certificates, among others).
Estonia also has bilateral agreements with several countries — including Ukraine, Latvia, Lithuania, and Poland — that simplify document recognition without an apostille.

We won’t sell you a service you don’t need. We’ll check the requirements of your specific destination country and institution and advice you whether an apostille applies to your case.

How to order apostille online — 4 simple steps!

1- Send us your document — a scan or photo of the original, by email, WhatsApp, Viber or through the website form.
2- We check whether an apostille is actually required for your country and purpose — free of charge.
3- We arrange the apostille through a notary — typically within 24 hours.
4- You receive the finished document — get it by email, WhatsApp, Viber (for electronic documents), or receive it by post  or in office if a paper original is required.

If you also need a sworn/certified translation of the document into another language — and you often will, since an apostille doesn’t translate the content — we can handle both steps together, as one order, in one place. That saves you at least one extra trip somewhere.

Frequently asked questions

Does an apostille replace a translation? No. An apostille confirms the authenticity of the signature and seal, not the content of the document. For use abroad, you’ll often also need a sworn translation — we can arrange both at once.

Can an apostille be affixed to a copy of the document? It can be affixed to the original or to a notarised copy, depending on the document type. We’ll advise you during the free check.

What if I’m not in Tallinn, or not even in Estonia? No problem — send a scan, and the finished document is delivered to you by post or email, anywhere.

Is it really 24 hours? In the vast majority of cases, yes. For unusual documents (for example, ones requiring a duplicate to be issued first), we’ll give you a fixed timeline.
